Before notice

Define what must carry across

List the people, recurring work, deadlines, systems, client permissions and review steps in scope. Separate provider-owned services from the work and knowledge your practice needs to retain.

Read the current agreement before setting dates. Check notice, employee solicitation, data return, equipment, intellectual property and final-payment terms. Get legal advice where the wording is unclear.

Transition plan

Run the handover in controlled stages

  1. Name one transition owner in your practice.
  2. Agree the final day and a short overlap period where contracts allow.
  3. Document recurring tasks, owners, inputs, outputs and review points.
  4. Move access through your own identity and password-management systems.
  5. Test one complete work cycle before the outgoing arrangement ends.

People

Handle continuity carefully

Decide whether you are replacing a service, moving an existing person where the contract permits, or hiring a new person. Do not assume a worker can transfer between providers. Confirm contractual and employment constraints first.

Controls

Close access and prove the handover

Keep a register of accounts, permissions, shared mailboxes, tokens and devices. On the agreed cutover date, revoke old access, rotate shared credentials, retrieve or wipe equipment as contracted, and record confirmation that data has been returned or deleted.

Review the first month weekly. Track missed deadlines, rework, unresolved access and questions that expose undocumented knowledge.

How long should a provider switch take?

It depends on notice terms, role complexity and the amount of undocumented work. Set the date only after mapping those dependencies.

Can an existing team member move to the new provider?

Sometimes, but contracts and local employment rules may restrict it. Confirm this before approaching the person.

Do switching providers guarantee the same working hours?

No. Agree the exact overlap for each new placement. South Africa is not in the same time zone as Australia or New Zealand.
